Terms and Conditions
Please read our general terms and conditions carefully before booking a trip with Bersama Travel. By making a deposit and confirming a reservation, you agree to the terms below.
Booking & Prices
You can confirm a previously discussed trip via email. The prices of our trips, visas, airport taxes, and fuel surcharges are subject to change. Price changes may occur due to fluctuations in exchange rates or increased flight fares.
Reservation, Booking & Payment
- Provisional Booking: A provisional booking is only valid for 3 days. Within this period, the deposit (or full payment), along with a copy of your passport, must be received.
- Trips can be booked in person, by phone, or in writing. The reservation becomes a final booking once a deposit is made.
- The deposit consists of at least 50% of the total travel cost (excluding flight tickets, booking, and administrative fees), with a minimum of €200.00 per person. This deposit is non-refundable.
- The remaining amount must be paid no later than 6 weeks before departure.
- For bookings made within six weeks of departure, the total amount must be paid within two working days.
- Reservation and administrative fees are €40.00 per booking.
- Payment method: Payments in euros are made via bank transfer to Bersama Travel. Bank fees and other charges are not included in the total amount and are at your expense.
- Travel costs only include the services and amenities listed in the travel proposal.
Duration of the Trip and Programme
The duration of the trip, as outlined in the travel programme created by Bersama Travel, is indicated in full days, with the departure and arrival days in the Netherlands (regardless of the time) counted as full days.
Changes
- The customer can modify the programme created by Bersama Travel after consultation with Bersama Travel, and any cancellation fees for hotels and transportation will be at the customer’s expense.
- Changes such as an extension of stay or deviations from the route are possible upon request up to 1 month before departure. Additional costs may apply. These changes are final and cannot be reversed.
- Approval: Changes are subject to the approval of the airline. If a change is not possible, the original itinerary will remain in effect.
- No Refund: There is no refund for the travel cost or unused flight tickets if you shorten your trip or do not make use of the offered services.
Cancellation by the Customer
If a trip is cancelled by the traveller, you are liable to pay, in addition to any booking fees, the following amounts to "BERSAMA":
- Cancellation up to eight weeks before departure: 15% of the travel cost.
- Cancellation between six and four weeks before departure: 50% of the travel cost.
- Cancellation within the last four weeks before departure: the total travel cost.
- Issued flight tickets are non-refundable.
Cancellation by Bersama Travel
The total travel cost must be paid six weeks before departure. Failure to make payment on time may lead to the cancellation of the trip by Bersama Travel. Cancellation of the trip by Bersama Travel will be communicated to the travellers in writing.
Liability of the Customer
The person booking the trip is jointly and severally liable for everyone for whom the trip is booked.
Liability of Bersama Travel
Bersama Travel is liable for the proper execution of the services outlined in the travel proposal and the expectations that the customer can reasonably have based on the publications of Bersama Travel, taking into account commonly known facts about the destination and local customs.
Bersama Travel will take into account the preferences of the travellers, such as a specific seat on the plane or the location of a hotel room, but no rights can be derived from these preferences. If changes in transportation or accommodation are necessary due to force majeure, Bersama Travel will endeavour to minimise the negative consequences of these changes.
Bersama Travel is not liable for:
- Loss or damage to luggage, travel documents, or tickets.
- Early or late departure of flights and public transport, both in the Netherlands and at your destination.
- Emergencies at your destination, such as power or water supply interruptions.
- Damage caused by circumstances that cannot reasonably be attributed to Bersama Travel.
- Damage due to failure to reconfirm your return flight, war and/or war risks, criminal activity, communication breakdowns, etc.
- Damage caused by third-party errors or the failure of third parties to meet their obligations when these third parties are not employees of Bersama Travel or have not been engaged by Bersama Travel.
- Damage caused by circumstances attributable to the traveller, such as health-related issues of the traveller.
- Damage that cannot reasonably be attributed to Bersama Travel according to Dutch law or the norms generally accepted in Dutch society.
Refunds
If you do not use already paid-for flight tickets, booked overnight stays, or car rentals, these will never be refunded by Bersama Travel unless confirmed in writing by Bersama Travel.
Travel Documents
You will receive your travel documents approximately two weeks before departure.
