Travel Conditions

Reservation, Booking, and Payment

Travel reservations can be made in person, by phone, or in writing. A reservation becomes a definitive booking once a deposit has been made. The deposit consists of at least 25% of the total travel cost (excluding airfare, reservation, and administration fees), with a minimum of €200.00 per person. Additionally, the deposit includes the full amount of cancellation and/or travel insurance. Reservation and administration fees amount to €35.00. The remaining travel cost must be paid no later than six weeks before departure. For bookings made within six weeks before departure, the full travel cost must be paid within two working days. Travel costs only include the services and amenities specified in the travel proposal.

Price Guarantee

The price guarantee is only valid if the deposit is paid within seven working days after booking. If this is not the case, any price increases due to interim contract price adjustments, exchange rate fluctuations, and fuel surcharges will be passed on to the customer. If a price increase occurs under the above-mentioned circumstances, you have the right to cancel your trip within five working days after receiving notification of the price increase. In such a case, "BERSAMA" will refund the amount already paid, minus the deposit, as soon as possible.

Travel Duration and Program

The duration of the trip, as stated in the travel programs arranged by “BERSAMA,” is calculated in full days. The days of departure and arrival in the Netherlands, regardless of the time of departure or arrival, are counted as full days.

Changes to the Program

Customers may change the travel program compiled by “BERSAMA” free of charge up to four weeks before departure. After this period, changes can be made in consultation with “BERSAMA,” but any cancellation costs for hotels and transport will be charged to the customer.

Insurance

As an agent of Europeesche, “BERSAMA” arranges your cancellation and/or travel insurance with this company. For insurance terms and conditions, please refer to the information brochures of Europeesche.

Cancellation by the Customer

If a trip is canceled by the traveler, the following costs will apply, in addition to any applicable reservation fees:

  1. Cancellation up to eight weeks before departure: 15% of the travel cost.
  2. Cancellation between six and four weeks before departure: 50% of the travel cost.
  3. Cancellation within the last four weeks before departure: the full travel cost.
  4. Issued flight tickets will not be refunded.


Cancellation by Bersama Travel

The travel cost must be paid six weeks before departure. Late payment may result in the cancellation of the trip by “BERSAMA.” This cancellation will be communicated to the customer in writing.

Customer Liability

The person making the booking is legally responsible for all travelers included in the reservation.

Liability of Bersama Travel

“BERSAMA” is responsible for the proper execution of what is stated in the travel proposal and the reasonable expectations that customers may have based on “BERSAMA” publications, taking into account commonly known facts about the destination and local customs.

“BERSAMA” will take travelers’ preferences into account as much as possible, such as seating preferences on the plane or the location of a hotel room, but no rights can be derived from these preferences. If changes in transport or accommodation become necessary due to force majeure, “BERSAMA” is committed to minimizing the adverse effects of these changes as much as possible.

Bersama Travel is not liable for

  •  Loss or damage to luggage, travel documents, or identification documents;
  • Early or late departures of flights and public transportation, both in the Netherlands and at your travel destination;
  • Emergencies occurring at your travel destination, such as power or water supply disruptions;
  • Damage resulting from circumstances that cannot reasonably be attributed to “BERSAMA”;
  • Damage caused by failure to reconfirm your return flight on time, war and/or war threats, crime, communication disruptions, etc.;
  • Damage caused by errors made by third parties or failure of third parties to fulfill their obligations when these third parties are not employees of “BERSAMA” or were not engaged by “BERSAMA”;
  • Damage resulting from circumstances attributable to the traveler, such as damages due to the traveler’s health condition;
  • Damage that, under Dutch law or prevailing social norms in the Netherlands, cannot reasonably be attributed to “BERSAMA.”


Refunds

If you do not use paid airline tickets, booked accommodations, or car rentals, “BERSAMA” will not provide a refund unless confirmed in writing by “BERSAMA.”

Travel Documents

Approximately two weeks before departure, you will receive your travel documents.
